WaitNook is used by businesses to run a waiting line. This explains what we collect from the businesses who use it and from the customers who join their lines, what we do with it, and how long we keep it.
What we collect
From a business: the name of the business and its sites, the people on its team and their email addresses, and how it has configured its lines. From a customer joining a line: the name they give, an email address or a phone number if they provide one, how many are in their party, and any answers to questions the business chose to ask. We also record when they joined, when they were called and when they left.
What we use it for
To run the line and tell the customer where they are in it, to show the business its own numbers, and to keep the service working and secure. That is all. We do not build advertising profiles and we do not use what a customer tells one business to do anything for another.
What we never do with it
We do not sell, rent, lease or otherwise disclose personal information to third parties for their own purposes. Mobile information and opt-in consent are never shared, sold, rented, leased or bought commercially with third parties or affiliates for advertising, marketing or promotional purposes. Information is shared only with the service providers who help us deliver the product — hosting, email delivery, messaging and payments — and only so far as they need it to do that work.
Messages
A customer is only messaged about the visit they joined, on the channel they agreed to, and only after they have agreed. Consent is asked separately for each channel and is never bundled into these terms. Anyone can stop messages at any time by replying STOP, or by using the unsubscribe link in an email, and we keep a record of that so it is honoured everywhere.
How long we keep it
Details that identify a customer are removed twelve months after their visit, automatically. What remains is the shape of the visit — when it happened, how long it took — which is what a business's reports are built on and which no longer identifies anybody. Records of people who asked not to be contacted are kept, because forgetting those would mean contacting them again.
Your choices
A customer can ask for their details to be removed from a visit at any time, from the link in their own status page, without contacting anyone. A business can export or delete its own data from the console. If you would rather ask us, write to the address below.
How it is protected
Data is held in encrypted storage with access restricted to the business it belongs to, enforced by the database itself rather than only by the application. Staff access is limited to what is needed to operate and support the service. Personal details are kept out of our application logs and error reports.
Children
WaitNook is for businesses and is not directed at children. We do not knowingly collect information from anyone under 13. If a business collects such information through their line, they are responsible for the consent behind it.
Changes
If this policy changes in a way that affects how information is used, the date at the top changes and account holders are told by email before it takes effect.
